Human Resources Is Moving

Photo of Munson Road buildingThe Department of Human Resources, including the Office of Staff Development, Employment Services, Information Management, Records, Benefits, Labor Relations and Payroll, will be relocating to 16 Munson road this summer.

An interview with Larry Pittman, University Director and the point person for the project, provided the following information:

Time Line: Internal renovations for the fifth floor are nearly complete. The site work for parking lots is still in process and completion will determine moving dates. It is anticipated that the parking lots will be complete by late summer.

Moving Schedule: The department will move in three phases. The order in which the units move will be predicated on dates (Payroll would move on an off-pay week, for example). It is anticipated that the total move will take three weeks; it is recommended that visitors contact the Human Resources reception area at 860-679-2426 before making a visit during this time. Stay tuned to the daily Broadcast Messages for more information.

Parking: Public Safety is in the process of assessing the parking areas. There is a possibility that lots will be designated by floors, with ample visitor parking.

Orientation: New Employee Orientation and training now provided in the ASB will be relocated to our new training room. The cafeteria, located on the fourth floor, should easily be able to accommodate the luncheon for new employees on that day.

Badges: There will be a badge station at Munson Road, which will eliminate traveling from one building to another for new employees as part of the orientation process.

Changes in the Way We Do Business: In our new location, there is no payroll window. All contacts will be made through the reception area. It is anticipated that this move will be a positive one for the UConn Health Center community.

Making a Difference!

Know Better Place logoKnow Better Place, our Health Center culture initiative, is going strong! We are pleased to update you on the many exciting and worthwhile efforts taking place under the Know Better Place umbrella. The purpose of this initiative is to increase communication and collaboration between departments and committees and better align our efforts that result in a great workplace. This approach includes three pillars of action: Driving Employee Engagement, Strengthening Communication and Developing Skilled Leaders.

Photo of Cindy CoutureIn March 2008, Human Resources welcomed Cindy Couture to her new position as Assistant Director, Organization and Staff Development. Cindy’s primary responsibility is leading the Know Better Place initiative. Exciting work is well underway in each of the three pillars. In the area of driving employee engagement, Know Better Place, the C4I Culture Subgroup and the Office of Diversity and Equity are responding to employee suggestions and task force recommendations. These can be found in one central location on the Know Better Place website, employees.uchc.edu. In the promotion of a positive work life balance for our employees, Know Better Place has launched several new initiatives. These include the “Just Move” physical activity campaign, a very popular stress management series and commuter stress reduction through The RideShare Company. Building on the success of UConnPride rewards and recognition programs, Know Better Place is working to spread the word about existing programs, integrate task force recommendations and identify opportunities for improvement.

Finally, much is happening in the areas of strengthening communication and developing skilled leaders. One of the primary vehicles of communication is the Know Better Place website, employees.uchc.edu,
created to provide a central portal for employees. Working hand in hand with communication is the development of skilled leaders. Initial efforts under this pillar include an innovative Lunch and Learn Series which offers informal discussions on peer-selected leadership topics. Planning for the near future, we will be offering a leadership institute to develop one of our most important resources, our leaders, by providing opportunities for growth, transformation and change.

This committee plans events celebrating the nationally declared Heritage and History Month Observances honoring the variety of racial, ethnic, and cultural contributions to American society.

High School Clinical Career Day

Photo of High School students at Clinical Career DayThe fourth annual High School Clinical Career Day event took place on March 19. The program has tripled in size since its inception with more than 350 students from 18 area high schools participating this year.

Students came to the Health Center to find out more about clinical career opportunities. During the Career Fair portion, 26 different booths offered students information and hands-on experiences. Prior to attending the event, students identified specific career area interests and attended small group breakout sessions facilitated by professionals in the field. These professionals gave a first-hand account of what their discipline was like and answered students' questions.

The event was sponsored by the University of Connecticut Health Center/Department of Human Resources, Celebrate Girls, and the Area Health Education Center.


Spotlight on: Human Resources’ Reception Area

First impressions are important and we always strive to put our best face forward. The Human Resources’ Reception Area, staffed by Lori Grant and Toni Cranford, is the core of the department and often serves as the initial point of contact with our customers. One of the most important functions of this area is to make applicants and employees alike feel welcome. The reception area is also responsible for appropriately triaging phone calls and directing walk-in customers, offering assistance with the On-Line Applicant Self Entry System (iGreentree), and providing interviewees with required compliance paperwork. The hours of operation are Monday through Friday from 8 a.m. to 5 p.m. For any Human Resource needs, we can be reached at 860-679-2426.

You Asked... We Listened...

Kronos Reporting Capabilities
Payroll proudly expanded Kronos reporting capabilities based on time approver suggestions. Employee time maintainers and approvers can now access a variety of reports. Such reporting tools include a Comment Report, where one can view all comments made, or isolate a particular comment for any specified period of time. Also, reporting on instances of specific earning codes may be accomplished by using the Employee Transactions and Totals Report. This report also allows time maintainers and approvers the option of specifying any period of time desired.  The most popular report is the Bi-weekly Time Detail Report that shows employee accrual balances, hours worked, and pay codes earned within any specified pay period. This report may be furnished to hourly employees by their time approvers upon request.

Online AA Updated
Thanks to user suggestions, the Online Assignment Authorization (AA) system was tailored to meet user needs. Some of the feedback implemented was automatic routing capability to approvers throughout the Health Center. A route history was included as well as renaming of buttons, making the online form more user friendly. Updates to the online AA user manual can be found at UCHC Online AA System User Manual.

Name/Address Form Updated
The Name/Address form has been updated to better serve your needs. The format was changed to ensure that your information is received and processed correctly.

Photo of hand holding pen writing in a notepadEffective January 1, 2008, Pharmacare, our pharmacy benefit provider, changed its name to Caremark. Only new hires, rehires, and employees making health insurance changes will get new ID cards from Caremark reflecting this change.

All others, don’t fret! Pharmacare cards will still be accepted!

FAQs

What is mandatory education?
The Health Center is mandated by local, state, and federal regulatory agencies to provide employees with various types of education and training. The courses and training you are assigned are based on your UConn Health Center job title.

Mandatory education and Healthstream: How do I log in to take my mandatory courses?

To access the training follow these directions:

1. If using a PC use this link: http://www.healthstream.com/hlc/uchc.

2. If using a MAC use this link: http://155.37.41.245/hipaa/HealthStreamRPSS-1.htm.

3. Enter your six-digit State of Connecticut employee number as both your “User ID” and “Password.”

  • Your employee number is a 6-digit number that is located in the upper right hand corner of your paycheck.
  • For new employees, the employee number can be found on a sticker in the upper right and corner on the front cover of your Orientation Book.

4. Select “Student” and click “Proceed with Login.”

5. The screen will open to “My Courses.”

6. Complete all of the listed assigned courses.

Acronyms & Definitions

Photo of magnifying glassEvery organization uses acronyms and the UConn Health Center is certainly no exception. We thought it might be helpful to decipher the codes; here are just a couple:

AA, Assignment Authorization: The AA is used for processing personnel/payroll transactions. For example, when an employee changes jobs, the AA is done to reflect the new title, salary, dept, etc. The department initiates the AA and sends to HR for processing.

PTR, Personnel Transaction Request: This is used to request financial approval for any and all actions at the Health Center.

Creative Child Care Center

With the coldness of the winter months behind us the children of the Creative Child Center spring forward with the excitement and promise of a new season and the opportunities to spend time outside and explore the wonders of nature. Whether taking a walk to the duck pond, playing baseball in the field, building roadways and castles in the sandboxes or catching good air in the outdoor swings, spring is a time to shake off the chill of winter and feel the sun in our faces (of course we always use sunscreen).

The spring and summer season will bring about a series of fun events and activities at the center. The last week of May we will be celebrating Ethnicity Sharing Week by creating an ethnic recipe book. We are asking parents to bring in favorite family recipes representing their family’s ethnicity.

One of our favorite events of the year is our annual Talent Show, Picnic and Raffle held at 5 p.m. on June 6. The toddler and preschool rooms work diligently in preparing for the show. The performances are always entertaining and well-received.

Our last summer event will celebrate the graduation of children from our oldest preschool room. They will be adorned with caps and gowns and will sing celebratory songs and receive diplomas. Their next step will be toward the exciting world of kindergarten. The ceremony will take place on Friday afternoon on June 20.


HR Updates...

Happy New Year! Fiscal Year That Is...
The Fiscal Year 2008 ended on June 5, 2008 which has kicked off the busiest time in HR. These summer months mean a 50 percent increase in transactions including benefit changes, general wage increases, and summer student hiring. Speaking of increases…

Upcoming Pay Increases
Collective bargaining units AFSCME (NP-3), A&R (P-5), and 1199 (P-1 and NP-6) will see a general wage increase of 3 percent in paychecks dated July 18, 2008. P-4 Engineering and Science (P-4) members will see a general wage increase of 3.5 percent in paychecks dated July 18, 2008. UHP members will see a general wage increase of 3.25 percent in paychecks dated August 1, 2008.

Future Planning
The State of Connecticut has recently selected MetLife as the vendor for its Long Term Care Product, and began an enrollment period that will last through June 30. During this enrollment period, employees may apply for coverage under a five question Simplified Issue process. Contact your authorized MetLife Representative, Lisa Krawczyk, at 1-800-LTC-CT89 or at 860-657-6936.


New Procedure for Employees Using the Age 50 Catch-up Option for the Deferred Compensation 457(b) Plan

For participants of the Deferred Compensation 457(b) Plan, the Age 50 Catch-up Option is available to those who will turn age 50 by December 31 and want to make more than the maximum normal deferral. For 2008, the normal deferral ceiling will be $15,500, and the Age 50 Catch-up limit is $5,000. When used together, eligible employees can defer a total of $20,500 for 2008.

All participants desiring to use the Age 50 Catch-up Deferral for the Deferred Compensation 457(b) Plan in 2008 must complete an updated CO-783 Participation Agreement form; otherwise the 2008 contribution limit will be automatically capped at $15,500. This form can be obtained by contacting ING directly at 860-368-3359 or from Jill Scully in Human Resources at 860-679-2901. The completed form must be mailed to the following address:
